Managing your tasks

This guide will outline how to use the search options and different viewing options in the task feed.

Key points:

  • These assigned tasks appear in your tasks feed and upon completion of a task you are required to mark the task as complete.
  • Task are ‘diary reminders’ in Sales Force.
  • Tasks can be nominated for individuals or a queue:
  • Setting a task for yourself: Using tasks you can set yourself a reminder to action something, eg call a customer. Only you can see this task.
  • Setting a task for someone else: you can nominate a task for anyone at St John. This task will appear in their task feed. Only you and the nominated person can see this task.
  • Setting a task for a queue: you can nominate a task for a team at St John. For example: set a task to the Product team, and therefore anyone in the team can view and complete the tasks.

Each day check your tasks feed.

Each day it is essential to check your tasks feed everyone. This will ensure that no tasks are overlooked.

 

 

Search and filter tasks

 

a: Recently viewed: click on the arrow to filter different ways to bring up the tasks in your task feed. The different views include:

  • Key points
  • SA ETQ, SA Finance, SA Products and SA Warehouse are all queues. That is, tasks allocated for a team, as opposed to individuals. For example you might allocate a task for SA Products, this mean anyone from Product can view and then action the task.

    Generally, most people will keep their view on Today’s tasks.

    Open tasks are also a popular filter. This shows all open tasks allocated to you.

    Pinned tasks

    b: Pinned task: click here to filter the view to display all tasks that you have pinned.

     

    Alternatively click on the pin to ‘save/ highlight’ any tasks that are applicable to you. For example, you may pin a task in your queue.

    Create new tasks

    c: New task: click on the drop-down arrow to create a new task.

    How to view the task feed in different styles

    d: Change the view: Tasks can be viewed using different views, click on the arrow to select another view. The options are (see below):

    • Table
    • Kanban
    • Split view

    Table

    Kanban – in this view you are able to drag the task from one field to another.

    For example, drag the task from not started to in progress, etc.

    Split view

    Please note: the 3 different views all contain the same information and it is up to the individual to choose which view they wish to use.

    Refresh the screen

     

    e: Refresh: hit this icon to refresh and check for recently added tasks.

     

     

    This searchbar has limited functionality and you cannot search assigned tasks, name and due dates. It is recommended to search using the abovementioned filters.

     

    Accessing tasks from the account

     

    In the account, scroll down, open tasks can be viewed on the right side.

    Click on the  

    task icon to view.

    If you are unable to complete a task by the due date

     

    If you are unable to complete a task, you can create a follow-up task.

    Click on the task

    Select follow-up task.

     

    Do not alter the due date, instead record the outstanding action the comments.

    Email updates

     

    Each morning you will be emailed an overview of your nominated tasks.
