Event Health and Medical Services - Survey Process
1. What is the Event Health and Medical Services Survey?
An Event survey is sent to a client whom we have provided Health and Medical services to. The survey is emailed to the client once it's been triggered by the Salesforce end-user. The survey asks the event contact for feedback on the services they received from us.
Once the client completes the survey, it will generate the following:-
1. An email summary of their survey responses sent to [email protected]
2. A customer feedback record which sits under the Related tab on the Events EM record within Salesforce
3. Details of the survey outcomes will appear on the 'SA Event Health Services - Survey Report' from Salesforce

2. How is the Survey triggered?
The survey can be sent to the Event Contact via email in 2 different ways:
1. Changing the event Status to "Completed" and clicking Save:
2. OR: Ticking the checkbox on the Event record "Send Survey" and clicking Save:
3. How can I send the Survey for multiple events at once?
At any given time, you can send the survey for up to 50 Events simultaneously. This is done from a list-view in Salesforce named "SA Events - Survey Not Sent".
To access this list-view, click on the Events EM tab and click on the drop-down arrow next to the current list-view and search for the one mentioned above:
To send the survey for multiple events:-
1. Select which events you want to trigger the survey for by clicking on the check box in the first column - (you can select all the events by clicking the checkbox on the column header)
2. Then click on the checkbox in the second column ("Send Survey")
3. Click 'Update X selected Items"
4. Click Apply
5. Click Save
If you don't want to trigger the survey for a particular event, you can do so by ticking the checkbox on the Event page "Exclude from Survey". Please ensure you do this as soon as you're able to and prior to the event status being changed or the event end date:
4. What does the completed survey look like in Salesforce?
Once a survey has been sent, the checkbox "Survey Sent" will be ticked. This prevents the survey being sent again for the same event:
You can access the survey results from the Related Tab on the Event EM record in Salesforce.

5. Additional Information
1. 'Contact' on an Event record is now a required field. This is who the survey is sent to:
2. The survey is sent based on the following criteria:-
- The event end date is in the past
- The event contact is populated (and has a valid email address assigned to them)
- The Event 'DEMS Type' field = 'Duty' or is Blank
- The Event 'Status' field = 'Completed' OR 'Send Survey' checkbox is ticked
- The survey has not already been sent for the event
