Event / Health & Medical Services - Escalation Process
Process Overview
In order to comply with the Events Policy for risk governance, if an Event is deemed to be 'high' risk, it will need to be reviewed and approved by management. This is to ensure that the St John team has sufficient resources to cover / service that Event.
An escalation and notifications process has been developed in Salesforce to manage this business process, as outlined below.
How do I make sure my team's Events are part of the Salesforce Escalation process?
You'll need to send a request to the BES Salesforce team at: [email protected] requesting that they do the following:-
- Create an Event Approver public group for your State / Territory and provide the individual approver's names.
- Add the API Name of the public group to the custom settings for your State / Territory
- Grant your / relevant user profiles access to the new Event__c field: Event Risk Level
Once your request has been actioned, you'll be able to carry out the following process, which is currently in place for the St John QLD EHS Team.
Indicating that an Event is high risk
Once you've created your Event record in Salesforce, indicate that the risk level to 'high' and click Save:
Approval Notification and Accepting/Rejecting
Once an Event is marked as high risk, the following email notification will automatically be sent to the approvers:
Clicking on the record link in the email will take you directly to the Event record. From there, you can:
- Choose to approve or reject it
- Add comments for the submittor to view
- Click Finish to complete the action:
The following email notification is sent at the same time as the one above to the person who submitted the request (updated the Event risk level to 'high'):
Once the approver has approved or rejected the Event, the following email notification will be sent to the requestor:
Once you click on the link to the Event record, you'll be able to see both the Approval Status and any comments that were added by the approver from the Approval Work Items section:
