Intelligence View (List-View)

What is Intelligence View?

'Intelligence View' is accessible from a button on the list-view layout for the following objects:-

  • Accounts
  • Leads
  • Contacts

This functionality enhances the standard list-view of the above-mentioned types of records for the end-user; allowing you to prioritise your records based on related activity and other criteria. It also allows you to perform actions. 

For example, with the Accounts Intelligence View, you can view account activity, opportunity metrics, review cases and log activities all from one place. 

How do I access Intelligence View?

Click on the object tab - e.g. Accounts and then click 'Intelligence View':

Toggle between the views: 'My Accounts' or 'My Important Accounts':

  • 'My Accounts':- Accounts where you are the owner
  • 'My Important Accounts':- These are your accounts which you mark as important (refer to next section)

Marking Accounts as Important

You can mark up to 200 accounts as important. From the Intelligence View with the 'My Accounts' view open, click on the bookmark symbol against each account you want to appear on the 'My Important Accounts' view:

You'll now see these accounts listed on the 'My Important Account' view.

Intelligence View Features & Actions

From the selected record on the list view, you can:-

  1. Click on the symbol shown below next to the account name to expand the related items view
  2. Click on 'Activity' tab to access or preview all activities relating to that account - you can select the time-frame for how far back you want to view the activities (image below shows activities for the last 7 days)
  3. Log a new activity item for that record
  4. Create a new task  

From here, you can also:

  1. View the related items / records
  2. View all related Opportunities (up to 5 records will be displayed)
  3. View all open Cases (up to 5 records will be displayed)

Updating the record from Intelligence View

You can either edit the record or change it's owner directly from the Intelligence View, by clicking on the drop-down arrow and selecting the function from there: 

How do I switch back to the standard list-views?

To navigate back to the standard list-views, click on 'List View' in the top-right corner:

Additional Information

Updating list-view filters: You can edit and rename the default Intelligence views. 

  1. Click on the filter symbol
  2. Select and edit the relevant filter(s) from the right-hand menu
  3. You also have the option to add another filter or remove them all
  4. Click Save

Note: Any edits you make to the list view/s will not affect anyone else unless the list-view is shared with others. 

Creating a new Intelligence list-view: Once you create a new list-view, only you will have access to it; you can't share it. Additionally, you won't be able to clone or delete it. 

To create the new list-view:

  1. Click on the cog symbol at the top-right corner
  2. Select 'Create New View'

You will now be able to add the relevant filter criteria to your list-view by carrying out the above step mentioned in the 'Updating list-view filters' paragraph. 

Changing the listed Accounts / Contacts / Leads from the list-view preview: You can quickly change the listed records by selecting a metric filter in the header row:

  1. Click on the relevant header filter - e.g. '(Accounts) With Opportunities'
  2. Update the filter/s from 'Activity' and/or 'Owner' drop-down and search box:

'Created Date' Filter: It's important to check and update the date filter for all objects with Intelligence View (Contacts, Accounts and Leads) so that all records which match that criteria become visible:

  1. Click on 'Total Contacts/ Leads' from the header
  2. Click on an update the created date range 

Remember, you can also create your own customised list-view with date filters and save it as mentioned previously.
