Beginning a Restock
This guide is designed to assist when beginning an onsite restocking service, the screenshots are captured from an iPad matching most closely with the device you are using day to day.
Please pay attention to all steps as they have changed recently and include alerts for known bugs.
Initial search
This guide assumes you have already located and opened the service associated with the restock. If this is not the case, please locate and open the service record you wish to edit: General search for a record
Select the item you are servicing
You will select the item you are servicing or if none exist you will make a new one using the free text field. The picklist is a dropdown box of previous kits that have been used by this organisation in the past. Once you have selected the kit or created a name for a new kit select next.
Note: There is no set way to manage kits presently it is determined by what is best for the end restockist, some prefer to create separate kits for each Kit, Area, Floor, Level or Site. Consult with you manager other restockists for more details.
Note 2: Always leave it as a First Aid Kit, we do not leverage the system in a way requiring the identification of Defibs or Signs explicitly.
Adding a new kit
Selecting an existing kit
IMPORTANT: You should not re-use the same kit during the same service, it can cause items to be double counted due to a bug. If you have added Items to Kit A and saved, create or select a different Kit to proceed
Add products to Kits
For this step you will select products and add them to kits. The best tab to use is the "Standard First Aid Kit" this has been generated and selected by the existing Restocking team to include all the common items involved in a restock. You will add all product to a given kit before proceeding to the next kit or exiting.
Note: You should not use the search section in the restocking tool here, there is occasionally an issue where it will clear all the items in the kit that you have already added. Instead adding extra items should be completed after the initial restock is complete - instructions are provided further into this guide.
Note 2: Only items that have had their checkbox selected will be added to the selected product list. Regarding the quantity you can either type in the number directly or select the + or - buttons.
Note 3: The system generates the product list automatically, as such the list generation order may change from time to time. Unfortunately this is not something we have been able to find a solution for at this stage.
IMPORTANT: Do NOT reduce the quantity to 0 of any product or leave the field empty - it will cause the entire process to crash and you will lose all unsaved data entry to that point.
Saving your restock Progress
Once you have completed a kit you will need to save your progress and either exit the restock process or go to the next kit. You can find these buttons by scrolling down to the bottom of the product selection list and selecting one.
Next Kit: returns you to the Select the item you are servicing page
Save and Exit: will return you to the main Service page.
Note: If you select Save and Exit by accident, worry not, you can simply go back to "Restock" and continue onwards.
Note 2: Typically I use Save & Exit instead of Next Kit as it is easier to do any other parts you require by selecting this option.
Next Steps
Once you have completed the Restocking portion of the restock the next step will be to review the order and add any miscellaneous products before finalising.
