Make an Industry (Onsite) Booking [Rapid No Quote]
Create an Industry Course for the Customer
When should I follow this procedure?
An account customer requests to have a St John Trainer conduct a First Aid course at their own premises.
The customer does not want a Quote before committing. This process assumes you have already agreed on Pricing and Conditions.

1. Click the Courses tab
2. Click the New button
3. Select Industry and then click Next
4. Complete the Course Information section.
5. Select the Product field and enter a product code to search.
6. Select the Product Name you need to form the basis of the course.
7. Complete the Location Information section.
If the Industry course is to be conducted at the customer venue select a Customer Location or create a new one.
8. Click the New Session button from the newly create Course record
9. Complete the Session fields and click Save
10. Click the Manage Bookings
11. Complete all the fields for the new Booking
Note: The Booking Contact you select will receive the Booking Confirmation email.
12. Click the Create Booking button
13. If you are ready to add Attendees to the newly created Booking, click the Add Attendees button
14. Follow the usual process to add Attendees to the Industry Booking. Click Close and return to the Booking record
15. In 1 Hour the Booking Confirmation email will automatically be sent to the Booking Contact.
This 1 Hour time delay was put in place to give the Customer Service staff time to add Attendees before the email goes out.
If you press the button now, the automatic email will still go out again in 1 Hours time.
16. Select the Contact from the Pick List, and click Run
- Download option will download the PDF Booking Confirmation letter to your computer so it can be attached to an Outlook email.
- Email option immediately attaches the Booking Confirmation letter to a system generated email and sends it to the customer. There is no option to review the email–it sends immediately.
17. The Attendees will simultaneously receive a Student Confirmation letter by email
18. Students will receive their certificate once the Trainer has marked them Competent and all other requirements are satisfied (attendance, USI, enrolment form)
The process you have just completed will create the booking as 'On Account'.
You can accept Phone Payments for the Industry Booking and adjust the Order (add Travel etc) by following the next section.
Adjust Pricing and Add Travel Fees
When should I follow this procedure?
The Industry Booking you made in the previous steps requires an Admin or Travel fee to be added to the Order.
You may also wish to perform the following steps to sanity check the pricing for the customer.
19. From the Booking record click the Order link to the to open the Opportunity
20. Click Add Products
21. Search for the additional product, then Check the box of the additional product you wish to add, then click Next
22. Enter a Quantity then click Save
23. The Customer will be invoiced for the updated Order amount on the Opportunity record once the Course record is closed.
Pricing looks wrong?
Special Pricing will automatically be applied. If you know the customer is entitled to better pricing than you see on-screen, please advise your manager so Special Pricing can be added to the Account.
If you need to fix pricing on the fly, you can go to the
Course record > Manage Bookings > Take Phone Payment > Apply a Promo Code.
