Update Member Status Button (From Contact Record)

The "Update Member Status Button" is a Salesforce Screenflow designed to streamline the process of managing St John member details. By updating the contact record and creating a new member status record for the contact, this screen flow ensures that all relevant information is efficiently captured and maintained.

When using the "Update Member Status Button," you'll be able to update crucial aspects of a member's involvement with St John, such as their primary team, role, status, and activities within the organization. Additionally, this screen flow allows you to record the reason for updating the member's information, ensuring that all changes are transparent and well-documented.

1. Navigate to the Member’s Contact Record

2. Select “Update Member Status” in the top right corner

3. Fill in the fields as required.

There are some special rules about member statuses that you should keep in mind:

Status - Any member who is currently participating in St John should be Active, or Leave other duties. Other statuses and their consequences are available here: What Member Statuses Mean

Special Title - Typically a member’s title will be their role. In that case we should keep this field blank. However if the member has a special title we should enter it. An example would be a staff member may have a role of “Staff” but a title of “Volunteer Support Co-ordinator”.

Volunteer Activities - All active volunteers must have at least one activity. If a volunteer has no activity with St John, then they are not an active member. Use the Control Key + Click in order to select multiple activities.

Primary Role - All members will have a primary role. For some leadership roles, updating the member status will automatically update the primary team’s leader.

Staff Activities - Some users may see the “Staff Activities” box. These choices are only available for those with the permission to manage staff and must be filled for Staff or Trainer record types.

Hide From Transcript - Selecting this box will make sure that this specific member status does not appear on a member’s OB2 file.

4. Select “Next” or “Finish” to end the flow
