Sending a Quote (Corporate Training for Public Courses)

Guide Overview

This guide outlines how to generate and send a quote to a B2B client when they want to send 1 or many employees to one of our public training courses. 

Creating the Opportunity

If not already done so, please create the Corporate Sale Opportunity in Salesforce:

  1. Click on the Opportunity tab and select 'Corporate Sales' and then Next:

        2. Complete all the required information and then click Save:

    3. Add training product (product, quantity and check/amend unit price):

Adding a Contact

In order to send the quote to a nominated person, firstly make sure that their contact record has been created against the account. Secondly, add them as a Contact Role to the Opportunity prior to sending the quote:

  1. Navigate to Contact Roles on the opportunity and click on the drop-down arrow, from there select the option Add Contact Role: 

    2. Search in the 'Contact' search box for the person you'd like to receive the quote. Once selected, click Next and at the next window, click Save: 

Generating the Quote

   1. Click on the Send Quote action on the Opportunity (in the top-right corner):

    2. The quote will be fully generated once the blue line across the screen reaches 100%. You'll then need to:-

              1. Select the contact from the list shown at step no. 1 below. Note: The contacts listed will be everyone who is linked to the Opportunity's account.

              2. Select the required delivery method:- 

                  A) Attach the document to Opportunity only

                 B) Download the document only

                 C) Email directly to the contact 

                 Note: You may want to preview the document (select option B) prior to emailing to the client. 

Then click Run to execute the request

When a quote has been emailed to the customer, you'll be able to verify this from the Opportunity itself by navigating to the Activity tab:

Setting a Task / Follow-Up Reminder

Set a task reminder in Salesforce to follow-up the quote at a later date:

  1. Click on New Task
  2. Populate the task pop-up screen and then click Save 

Customer Responds to Quote 

Once the customer responds after receiving the quote, you'll need to update the Opportunity Stage:

  • Customer Accepts > 'Closed Won - Training Scheduled'
  • Customer Declines > 'Closed Lost' 

When you update the Stage to Closed Lost, you'll be prompted to enter a reason why / more information

Proceed with the Booking process once accepted, by clicking on the drop-down at the top-right corner and selecting the Manage Bookings quick action:

You will then be taken to the Manage Bookings  page, where you can select the appropriate public course and create the booking there.
