Payment Options and when to use them

Different payment options

This guide will explain what are the different payment options available in Salesforce and when they can be used. These payment methods are currently specific to SA and were determined to some extent by Finance. Primary concern with the number was being able to reconcile and track revenue sources.

Once in the process the payment screen you have the following types of payment methods to select from:

Credit card

Standard and preferred payment method of St John. Credit card details are entered directly into Salesforce and processes using our processing partner.

Cash

Used when the customer is paying cash, the system assumes the correct cash has been given. It does not assume that there is a need to calculate change

Cheque

Used when the customer is paying with a cheque and you have authorisation to accept a cheque payment.

Warehouse EFTPOS

Used when the payment is processed using the EFTPOS machine marked as Warehouse.

Front desk EFTPOS

Used when the payment is processed using the EFTPOS machine marked as Front Desk.

Special Event 1 EFTPOS

Used when the payment is processed using the EFTPOS machine marked as Special Event 1.

Special Event 1 EFTPOS

Used when the payment is processed using the EFTPOS machine marked as Special Event 2

EFT

Used when the customer does not have an account and is wanting to pay by bank transfer. We must provide the customer with our BSB and Account #.

Typically used for product orders. Stock is not to be distributed until payment has been cleared by finance.

On account

The customer has an account with us, the account is in good terms and this transaction would not put them in bad terms. The account must be active and have available credit. This option can only be used by an authorised person at that company.

The system has warning that will generate if the client does not have suitable credit terms, or if they are in violation of them in some manner.

Square Invoice

Used by specific states for long form courses where the payments will be invoiced by Square over multiple instalments. Users wanting to invoice with Square must have the special permission 'IsCanInvoiceWithSquare' in order to use this payment method.
