Create a Credit Note Request
This guide outlines how to create a Credit Note Request. This may be required if there is a need to cancel an invoice, get a refund or both.
This guide requires you to have already located the opportunity. There are multiple ways to access a given opportunity depending on the type of sale that is being processed. Please refer to Completing a Search if you require assistance.
Once you have located the opportunity you need to credit proceed to step 1:
1. Confirm the Opportunity has been invoiced
Check the MYOBA Order number and or the MYOBA Invoice number has been populated. If they have not been populated, there is no need to raise a credit note
2. Create the credit note
In the Opportunity screen, click the Create Credit Note button. If this button is not displayed, click on the down arrow on the right hand side of the screen to display it.
The Create Credit Note pop up is displayed.
Complete the following fields:
- Invoice Number: Do not update.
- Type: Select 'Credit Note'.
- Credit Note Type: Select 'Full Credit' if the credit note is for full amount paid. Select 'Partial Credit' if the credit not is for less than the full amount paid (e.g. you are applying a cancellation fee).
- Amount incl GST: If this is a Full Credit, do not adjust the amount. If this is a Partial Credit, adjust the amount accordingly.
- Refund Required: Select 'Yes' if a refund is required. Otherwise, select 'No'. Note: Refunds may not always be required, either because the client has not paid any money, or because they wish to apply the paid funds to other debts.
- Reason for Credit: Leave this field as default.
- Credit Note Additional Details: Enter any relevant details, e.g. why the booking was canceled. This information will assist the Approver to decide if they will accept or reject the request.
- Send for Immediate Approval: Tick this checkbox to send the credit note to the Approver immediately.
Click Save. The following message is displayed.
3. Next Step
A task has been created to remind you to follow up on this request in 7 days if the credit note has not been actioned.
Once it has been accepted or rejected you will receive an immediate notification to contact the client and inform them of the outcome and next steps.
