Creating a Course (Industry)
Complete this procedure to create a new on-site course.
1. Create the course
Click on the 9 dot icon on the top left corner of the screen, start entering 'courses' in the search field and click on Courses.
The Courses screen is displayed.
Click New. The New Course pop up is displayed.
Select 'Industry' and click Next.
The New Course: Industry pop up is displayed.
2. Enter the course details
In the Course Name, enter the course name according to the naming convention, e.g. name of organisation, course code, location: 'RAAF PFA Hindmarsh'
In the Product field, enter 'ind' then the product code, then select Show All Results for "...." .
The Product screen is displayed.
Select the required industry course.
Complete the following fields:
- Course Start Date: Select the course start date and start time.
- Course End Date: Select the course end date and end time.
- Regional Hub: Start typing the name of the regional hub (e.g. 'metro' or 'regional') and select the hub from the options presented.
- Account: Start typing the name of the organisation and select the account from the options presented. This is the account that will be billed for the course.
- St John Location: If the course is being hosted at a St John venue, select the location in this field. Otherwise, leave this field blank.
- Customer Location: If the course is being hosted at the client site, start typing the name of the organisation and select the location from the options presented. Note: If the required location does not appear as an option, you must create it. See Creating a new Address for Onsites.
Scroll down to the Additional Information section.
In the Comments field, enter the name and mobile phone number of the Booking Manager and any specific instructions for the trainer, e.g. how to access the venue. This is very important to ensure everything runs smoothly on the day of training.
Note: You do not need to update the remaining fields.
Update the Status to 'Open' and click Save.
3. Create session(s) for the course
Add a new session for each day the course is run.

4. Request trainer assignment
Whilst you are still in the course, select Chatter on the right-hand side of the screen.
Click Share and update....
`Type '@' then the name of the Rostering Manager.
Enter the message, e.g. "Please assign a trainer to this course."
Click the Share button. When you have received a response that the trainer has been assigned, you can proceed to create the booking.
5. Create a booking
Before you create a booking, you must confirm that there is a trainer available on the course dates.
In the Course screen, click the Manage Bookings button. Note: you may need to click on the down arrow on the right-hand side of the screen to display the Manage Bookings option.
The Current Bookings screen is displayed.
Complete the following fields:
- No of Attendees: Enter the number from the Capacity field.
- PO Number: If you have a purchase order number, enter it. Otherwise type something in this field.
- Booking Account: Search for and select the account of the organisation.
- Booking Contact: Search for and select the booking contact (i.e. the person who made the booking).
Click Create Booking.
The booking is created.
In the Course screen, the Status of the course will now be 'Capacity'. Note: You may need to refresh the page to update the fields.
