Send a Certificate

This guide outlines how to send a certificate to a student or their employer.

A certificate will only be issued if the following criteria have been met:

  • the course has been resulted
  • the student's USI has been validated, and
  • the student has submitted their enrolment form.

An employer should only receive a copy of the student's certificate if the student has given their permission.

1. Search for the student contact record

Use the student's name, student number, mobile number or email address to search for the student.

Click on the student's contact record in the options displayed. The Contact record is displayed.

Check that you have the correct contact record by confirming the student's date of birth, mobile phone and/or any other details.

2. Check if the student has fulfilled requirements for certificate

Click the Details tab, scroll down to the USI Details section and check that the student's USI has been verified.

In the Related List Quick Links, click Courses Attended.

In the Courses Attended screen, select the attendee record for the course the requester requires the certificate for.

The courses are sorted with the most recent at the top. If the student has attended many courses, ensure you select the correct one.

The Attendee record for the selected course is displayed. Check that the student has submitted their enrolment form.

3. Check permission to send to employer, if required

If the employer has requested a copy of the student's certificate, you must first check that the student as granted permission.

In the Attendee screen, scroll down to the section and check that the Employer Permission is set to 'Y'. If the student has not given permission, you must not send the certificate to the employer.

4. Send the certificate

Select the Send Certificate button from the drop down list at the top right-hand side of the screen.

The ATTENDEE window is displayed.

1. Choose the delivery method.

Note: Select 'Download' if you wish to send the email from your own or another email address that is different from the email address stored in the system.  

2. Click Run.

3. If you selected 'Download', attach the PDF to an email and send.

The requester will receive a copy of the certificate in their email.

If the student has not fulfilled all the requirements to obtain a certificate, you will not be able to send the email and the following message will be displayed.
