Creating a Course (Internal)

This guide outlines how to create a new internal course for volunteer or staff members.

1. Create a new course

Click on the 9 dot icon at the top left-hand corner of the screen, start entering 'courses' in the search field and click on Courses.

The Courses screen is displayed.  

Click the New button. The New Course pop up is displayed.

Select 'Internal Workshop' and click Next.

The New Course: Internal Workshop screen is displayed.

2. Enter the course details

Complete the following fields in the relevant sections:

Course Information

  • Course Name: Enter the course name using your organisation's the naming convention.
  • Parent Course: Leave blank.
  • Course Start Date: Select the course start date and time.
  • Product: Select the training product. Ensure you do not select an industry product (i.e. 'ind-').
  • Course End Date: Select the course end date and time.

Location Information

  • Regional Hub: Select the regional hub of the location.
  • St John Location: Select the location of the training venue.
  • Account: Select a St John account.

Course Attendance

  • Capacity: Enter the maximum number of attendees for the course.

Click Save. A success message will be displayed and the new course is created.

3. Add the sessions

Add a new session for each day the course is run.

4. Create a booking

If the course is for both volunteers and staff, you will need to create two separate bookings: one for staff and another for volunteers.

In the Course screen, click Manage Bookings.

The Current Bookings screen is displayed.

Complete the following fields:

  • No of Attendees: Enter the required number of attendees.
  • PO Number: This field cannot be left blank. Type '...'.
  • Booking Account: Search for and select the account of the organisation.
  • Booking Contact: Search for and select the booking contact.

Click Create Booking.

The booking is created.

Click Phone Payment. The Payment Details screen is displayed.

In the Payment Method field, select 'Cash' in SA. (Other states may differ)

In the Promotional Code field, enter a promotional code, e.g. In SA we use either 'Staff' or 'Volunteer' and click Apply.

Amount should be $0 before you finish. If it has not change to $0 do not complete, instead identify why the promo code did not work.

Click Finished. You are returned to the Booking screen.

5. Add attendees to the booking
