Cancelling a Course
This guide outlines how to cancel a public or industry course.
Courses are generally cancelled by St John (usually due to unavailability of trainer), but may also be cancelled by the customer in the case of industry courses.
If a course is cancelled by St John, and the customer does not wish to reschedule, a refund will need to be processed if the customer has already paid.
1. Search for the course
Click on the 9 dot icon on the top left corner of the screen, start entering 'course' in the search field and click on Courses.
In the Courses screen, use the filter and search functions to locate the course.
Click on the course name to open the Course screen.
2. Advise booking contact/attendees of cancellation
If there is a booking contact, you will need to contact them to advise of the cancellation and to discuss transferring to another course.
For public courses, if there is no booking contact, you will need to contact each attendee individually.
For public courses, it is always preferable to transfer the booking to another course, rather than cancelling the booking and refunding the course fee.
In the Course screen, click on the Bookings link in the Related List Quick Links.
The Bookings screen is displayed. Check if there is a booking contact. If so, phone the booking contact to discuss transferring the booking.
If there is no booking contact, return to the Course screen and click on the Attendees link in the Related List Quick Links.
The Attendees list is displayed. Phone each attendee to discuss transferring the booking to another date.
3. Reschedule the booking (Public course)
If the booking contact or attendees on a public course have agreed to transfer to another course, depending on the wishes of the customer, you may either:
- reschedule the entire booking. See Rescheduling a Booking for instructions, or
- reschedule individual attendees to different courses. See or Rescheduling Attendees for instructions.
Go to step 6. Cancel the course.
4. Cancel the booking (Public course)
For public courses, you may need to cancel the booking and refund the course fee if the customer does not wish to reschedule to another existing course.

5. Cancel the booking (Industry course)
For industry courses, you must always cancel the booking. You should do this after you have discussed with the booking contact a date for rescheduling the course.

6. Cancel the course
Complete this step after you have either rescheduled or canceled the booking.
Access the Course screen.
Click the Assign Trainer button.
Delete each trainer from the TRAINER field, then click Back to Course.
In the Course screen, hover over the Sessions link to confirm that the trainer has been removed.
In the Course screen, update the following fields:
- Primary Trainer: Delete the trainer's name and click Save.
- Owner: Change the Owner to yourself.
- Course Name: Type 'Canceled - ' before the course name and click Save.
- Status: Select 'Canceled' and click Save.
7. Create a new course and booking
For industry courses, if the customer has agreed to reschedule the course, you must create a new course and booking after the original course has been canceled. See Creating a Course (Industry) and Creating a Corporate Booking for instructions.
For public courses, it will be necessary to create a new course and booking if you have canceled the original course and booking, but the customer still wishes to attend the course. See Creating a New Course (Public) and Creating a Public Attendee Booking.
