Creating a Corporate Booking

Complete this procedure to create a corporate booking for a public course. A corporate booking is one which is paid for by the organisation, not the individuals attending.

1. Access 'Make a booking' module

 Click on the 9 dot icon on the top left corner of the screen, enter 'make a' in the search field and click on Make a booking.

The Select a Product screen is displayed. A 'Make a booking' tab will appear at the top of the page.

2. Search for the course

In the Select a Product section, complete the following fields:

  • Product: Search for and select the training product.
  • Region: Select the relevant option.

In SA: Select either 'Adelaide Metro' or 'SA Regional'.

  • Month: Select the required month and year. Note: The calendar will default to the current month. If required, change the month to pick future courses.

Click the Filter button. Courses meeting your search criteria are displayed.

3. Select the course

Scroll through and select the course you wish to make a booking for.

Check the Rem. Spots column to confirm the course has enough seats for the attendees being booked in for this transaction.

4. Create the booking

Once you have selected the course, click New Company Booking.

The Current Bookings screen is displayed.

In the Courses section, complete the following fields:

  • No. of Attendees: Enter the number of attendees to be booked into the course.
  • PO Number: Ask the customer for a reference number, ideally a purchase order number, and enter it in this field.
  • Booking Account: Search for and select the name of the account.
  • Booking Contact: Search for and select the primary contact for the booking (generally the person making the order).

Note: All fields are required.

Click Create Booking. The following message is displayed if the booking is successful, and a booking reference number is generated.

5. Review booking details

You should confirm the booking has been added correctly before proceeding to add the attendees.

In the Current Bookings section, click on the booking link.

The Booking screen is displayed. Here you can confirm the details of the booking, e.g. Payment Status, Status, Account and so on.

6. Add attendees to the booking

In the Booking screen, click on the Attendees link in Related List Quick Links.

The Attendees screen is displayed. Click Booking Attendees.

The Add New Attendee section is displayed. For instructions on how to add a new attendee, see Adding an Attendee to a Booking.

Once you have added the attendees, click the Back to Booking button and refresh the Booking screen.  The number of attendees will now appear next to Attendees in Related List Quick Links.

7. Send booking confirmation

The system should automatically send the confirmation within about 2 hours of the booking payment (including on account) use this step if required

Return to the Booking screen and click the Booking Confirmation button.

The BOOKING window is displayed.

1. Select the contact.

2. Select the package.

3. Select the delivery method.

  • Select 'Download' if you wish to send the email from your own or another email address that is different from the email address stored in the system.  
  • Select 'Email' if you want the email to be automatically sent by the system.

4. Click Run.

5. If you selected 'Download', attach the PDF to an email and send.
