Adding Exemptions to Attendees

  • This process is to add exemptions to students that have completed some of the prerequisite competencies recently when enrolled for an advanced course. 
  • For example: Student enrolls for PAFA(HLTAID009, HLTAID010, HLTAID011 and HLTAID014) and has done a PFA(HLTAID009, HLTAID010 and HLTAID011) recently and wishes to only attend and attain the advanced unit.

The process is different for the 2 scenarios depending on if the student completed course with the same St John state/territory or elsewhere.

Scenario 1: Student completed a St John course with the same state/territory

Step 1

  • Find the students profile and check their previous attendee record has the required competencies marked as competent and they are still current. 
  • Then go to the attendee that the exemptions are to be applied to. 
  • Once on the attendee click on the down arrow to expand the buttons then click on the 'Add Exemptions' button.

Step 2

  • On the next screen select the 'St John Course' option since this student has previously completed a course with St John and you have checked their previous attendee record to confirm they are still current then click next.

Step 3

  • The next screen brings up any other attendee records for the student, other than the one you are currently adding exemptions to. Select the attendee record you have checked and verified in the first step and click 'Next'.

Step 4

  • The next screen will bring up the enrolled competencies of the current attendee. You will need to select the competencies to be marked as exempted and enter a comment related to the exemption request then click on 'Next'. 
  • This action will mark the selected competencies as 'Exempted' and update the attendee with the details of the previously completed attendee details.

Scenario 2 - Part 1: Student completed a course with a different St John State/Territory or another organisation.

Step 1

  • This process begins once you have obtained the previously completed and currently valid certificate from the student. Then navigate to the attendee that the exemptions need to be applied to. 
  • Once on the attendee click on the down arrow to expand the buttons then click on the 'Add Exemptions' button.

Step 2

  • On the next screen select the option for 'Course completed elsewhere' and click next.

Step 3

  • On the next screen select 'Add student exemption documents' and click next.

Step 4

  • On the next screen, click on upload files and select the student certificate, then click on 'Done' and 'Next'. This is where the process finishes before the certification is submitted for verification. 
  • But if that process is already completed you can tick the check box 'Proceed with Verification Documents Now' that will take you to uploading verification document step straight away, you can jump to step 3 of the next process.

Scenario 2 - Part 2: Attaching Verification documents

Step 1

  • Once the verification has been completed, have the email or any other document ready to be uploaded. If the verification has been done on the phone, write the notes on how the verification has been done in a text or word file and save it ready for uploading.

Step 2

  • Return back to the attendee record and click on the 'Add Exemptions' button, then select 'Course completed elsewhere' then 'Next'.

Step 3

  • On the next screen select 'Add verification documents' option then 'Next'.

Step 4

  • On the next screen click on 'Upload Files' button and select the verification document. Once you selected the file then click on 'Open'.
  • Then click on 'Done' and 'Next'.

Step 5

  • The next screen will bring up the enrolled competencies of the current attendee. You will need to select the competencies to be marked as exempted and enter a comment related to the exemption request then click on 'Next'. 
  • This action will mark the selected competencies as 'Exempted' and attach the verification document to the attendee 'Notes and Attachments' section.

Marking students with exemptions

  • The process for marking the remaining competencies for students who have been applied exemptions works exactly the same way as per the current process. 
  • The exempted competencies are visible and cannot be edited. The remaining competencies can be marked using the standard process. 
  • The certificate generated for the student lists only the competencies undertaken by the student with us. This ensures that we do not extend their other competencies which they are exempted from and haven't undertaken with us, in order to maintain compliance.
